It’s easy to look at that rapid pace of change and feel either completely overwhelmed or skeptical about how any of it applies to your bottom line.

But here’s the reality: beneath the hype and sci-fi headlines, the AI models available to us right now are fundamentally practical, high-powered engines. When given clear, structured instructions, they act as extraordinarily smart business tools, calculating options, organizing chaos, and accelerating strategic work.

The secret isn’t waiting for the technology to get smarter. It’s learning how to give it better instructions today.

Have you ever asked AI a question and thought…

When that happens, most people assume the problem is the AI. In reality, the problem is often the conversation. One of the most significant misconceptions about artificial intelligence is that you simply type in a prompt and AI magically knows exactly what you want. That’s not how it works.

Think about it this way…

If you walked into a business consultant’s office and said, “Tell me how to grow my business,” what would happen?

The consultant would start asking questions.

  • What kind of business do you own?
  • Who are your customers?
  • What are your goals?
  • What’s been working?
  • What challenges are you facing?

Only after gathering enough information could they give you meaningful advice. Artificial intelligence works much the same way. The better information you provide, and the better you guide the conversation—the better information you’re likely to receive in return.

That’s why I created the P.R.O.M.P.T. Method™.

It’s not just about teaching people how to write better prompts. It’s a guide to help people communicate with AI in a way that produces better information, better ideas, better analysis, and ultimately better business decisions.

AI Is a Conversation, Not a Search Engine

For more than 25 years, I’ve helped business owners understand websites, online marketing, search engines, and emerging technology. One thing I’ve learned is that technology works best when people understand how to speak with it.

Artificial intelligence is no different. Many people still approach AI the way they use a search engine. They type one sentence, wait for an answer, and move on. That’s like interviewing one expert, asking a single question, and walking away before the conversation even begins.

The real value of AI comes through an ongoing dialogue.

  • You provide information.
  • AI responds.
  • You clarify.
  • AI expands.
  • You ask follow-up questions.
  • You challenge assumptions.
  • You refine the direction.

Each exchange builds on the last, yielding answers that are more relevant, insightful, and useful than those from a single prompt. That’s the philosophy behind the P.R.O.M.P.T. Method™.


Meet the P.R.O.M.P.T. Method™

As I began teaching AI workshops to business owners and professionals, I noticed a common pattern. People weren’t struggling because AI was difficult. They were struggling because no one had shown them how to effectively work with it.

There were thousands of articles filled with lists of prompts. There were endless videos promising “50 prompts that will change your life.” But very few people were explaining why some AI conversations produce exceptional results while others fall flat. I wanted a framework that was practical, easy to remember, and focused on improving the quality of information people receive from AI, not just generating content.

I analyzed all the instructions available, and through my own testing and use, I developed a pattern that improved the quality of the AI answers I received. I call it the P.R.O.M.P.T. Method™.

Rather than focusing on a single prompt, the framework encourages a complete conversation from setting the stage to refining ideas and evaluating the results.


A Simple Framework for Better AI Conversations

The P.R.O.M.P.T. Method™ consists of six connected steps organized into two phases.

Phase One: Setting the Foundation

Before AI can provide meaningful answers, it needs meaningful direction. The first three steps help establish that foundation.

P – Persona & Role -Help AI understand the perspective it should take.

R – Raw Background – Provide the context, facts, and information that AI needs to understand your situation.

O – Output Specifications – Clearly define what you’re trying to accomplish and what success looks like.


Phase Two: Improving the Conversation

Most people stop after AI’s first response. That’s where users are missing the boat. There is so much more to do to get to a point where you can trust the information and make decisions on the information provided so far. The second phase focuses on improving the conversation and sifting out inaccuracies, hallucinations and just misunderstood questions.

M – Modify – Build on the first draft instead of starting over.

P – Push Back & Verify – Challenge assumptions, verify important information, and explore different perspectives.

T – Terminate & Stop – Know when you’ve reached the point where your own expertise should take over.


Better Communication Leads to Better Information

Notice something important. None of these steps are about tricking AI. None of them involve secret commands. And none of them rely on memorizing complicated prompt formulas. They’re simply good communication principles.

  • The clearer your objective…
  • The more context you provide…
  • The more thoughtfully you evaluate the responses…
  • The better information you’re likely to receive.

Whether you’re asking AI to help with marketing, research, strategic planning, customer communications, brainstorming, or writing, the same principle applies:

AI Doesn’t Replace Your Expertise

One concern I hear frequently is, “Won’t AI replace people?” I see it differently. AI doesn’t know your customers. It doesn’t understand your business history. It hasn’t built relationships with your clients. It hasn’t developed your professional judgment. That’s your expertise.

AI’s role isn’t to replace it. It’s to help you think faster, explore more possibilities, organize information, and generate ideas you can evaluate using your experience. The best outcomes happen when human expertise and artificial intelligence work together.


Taking Control of the Tool

AI can easily take you on a ride down endless rabbit holes. If you don’t take control and guide the conversation, you can waste a lot of time.

As a sole proprietor working with clients across diverse industries, I need to stay on top of rapid technological changes without falling for every shiny new object. While debates continue about AI ethics, regulation, and future developments, practical tools are available right now to make our daily work easier.

The key is education and healthy skepticism. AI will not always be right. It will give you incorrect or hallucinated responses when it lacks enough input to fully answer your question. It is not a lawyer, a doctor, or an expert in your specific industry—it is a lightning-fast aggregator of information based on the parameters you set.

We all want quick answers, but shortcut solutions rarely work. What we have right now are fast responses based on input quality.

Garbage in = Garbage out.

The quality of the answers you receive depends entirely on the quality of the direction you provide.
